Admissions Coordinator

Organization Summary: Prep for Prep is an education and leadership development program that creates ethical and effective leaders who reflect our diverse society. Prep identifies New York City's most promising students of color, prepares them for success at the nation's top independent schools throughout the Northeast, and supports their academic and personal growth through college graduation. Today, over 5,000 students and alums in the Prep for Prep Community are leaders in every field imaginable.
 
Position Summary: The Admissions Coordinator reports to the Director of Admissions.

Responsibilities:

First Level / Application and Nomination Processes
  • Manages Prep Admissions email and phone line
  • Processes all nominations, inquiries, and applications with the help of part-time staff
  • Call all families of students who are nominated for Prep for Prep
  • Handles mailings to schools and families
  • Summer mailing to nominators and schools
  • Nominator packets to families
  • Review First Level applicant files as needed
  • Manages late applicant process

Second Level 
  • Maintains/edits all applicant records to ensure the accuracy of applicant information
  • Supports Admissions Officers in the completion of candidate files
  • Email and phone follow up with families 
  • Communication with nominators/school officials
  • Provides updates on candidate status to nominators
  • Provides updates on candidate status to families
  • Review contents of candidate application files to determine when they are complete

    Final Level/Enrollment
    • Works with team to disseminate (and to coordinate return receipt) pertinent documents to families of admitted students
    • Assists Director of Admissions in scheduling IQ exams
    • Schedules interview sessions for final-level applicants

    General Administrative and Quality Control
    • Reviews data entry to ensure the accuracy of information entered into Salesforce
    • Updates Admissions information and files on Google Drive
    • Team lead on maintaining materials and supplies for the office
    • Participates in All Staff as well as weekly team meetings
    • Attends team outings such as partner school tours and special events
    • Participates in Admission Team retreats and professional development
    • Coordinates with Admissions Officers and Director of Admissions to mail decision packets at every level of the process
    • Comfortable with virtual and/or in-person presentations as necessary and schedule permitting

    • Demonstrates facility with Microsoft Office suite as well as Google Docs applications
    • Bachelor's Degree or equivalent
    • Experience with Salesforce is preferred
    • Fluency in Spanish is strongly preferred

     
    The work schedule is different from a typical 9-5. The Admissions Coordinator should be prepared to adjust to some weekend work days, evening events, and extended hours when necessary. 
     
    All employees must be committed to helping Prep for Prep and the Admissions office achieve their Mission. The responsibilities listed above should be seen as a general framework; flexibility and professional growth are critical to the team's accomplishment, and roles should not be seen as fixed. Roles and responsibilities are divided and subject to change at supervisors' discretion.
     
     
    Compensation Range: $55,000 - $60,000.
